This Privacy Policy explains how we collect, use, store and disclose personal information and how you can access or correct information we hold about you or raise a privacy concern.

Information we collect

The type of information we collect depends on your interaction with our practice.

When you make an enquiry through our website, we ask only for:

  • your name

  • your email address

  • a brief message about your enquiry.

We ask that you do not provide detailed or sensitive health information through our website enquiry form.

If you or your child becomes a client of Insight Psychology Newcastle, we may collect additional personal and health information that is reasonably necessary to provide psychological services. This may include contact and identifying information, referral information, relevant health and developmental information, assessment and treatment information, clinical notes, correspondence and other information relevant to providing psychological care.

Where our client is a child or adolescent, relevant information may also be collected from a parent or guardian and, where appropriate, from other professionals involved in the young person's care.

The OAIC recognises that when the patient is a child it may be appropriate for a health provider to collect relevant information from parents or guardians. 

Why we collect your information

We collect personal information where it is reasonably necessary to provide and manage our psychological services.

Information may be used to:

  • respond to enquiries

  • arrange and manage appointments

  • provide psychological assessment and treatment

  • communicate with parents, carers and clients

  • coordinate care with other health professionals or services where appropriate

  • meet professional, administrative and legal obligations

  • process Medicare or private health fund claims where applicable.

Health information is sensitive information under Australian privacy law and is subject to additional protections. Health service providers generally collect health information with consent and where it is reasonably necessary to provide the health service. 

Website enquiries

Our website is hosted by Squarespace.

When you submit our website enquiry form, the information you enter is provided to Squarespace as our website hosting provider so that the form can be processed and your enquiry provided to us. Squarespace specifically recommends that websites using its Form Blocks disclose this processing in their privacy policies. 

Our website enquiry form is intended for initial enquiries only and is not intended for providing detailed clinical or sensitive health information.

Please provide only a brief description of what you are seeking support with. More detailed information can be discussed directly with your psychologist or the practice.

Our website form also uses Google reCAPTCHA to help protect the website from spam and automated submissions. Squarespace currently uses invisible reCAPTCHA v3 on most sites. 

How we store and protect information

Insight Psychology Newcastle takes reasonable steps to protect the personal and health information we hold from misuse, interference, loss and unauthorised access, modification or disclosure.

Clinical records and other practice information are stored using appropriate practice systems and security measures. Access to personal and health information is limited to those who require it for legitimate practice purposes.

Website enquiries are handled separately from detailed clinical records.

Sharing information

Personal and health information will only be used or disclosed for the purpose for which it was collected, for a directly related purpose where this would reasonably be expected, with consent, or where disclosure is otherwise required or permitted by law.

With appropriate consent, this may include communication with professionals or services involved in a client's care, such as GPs, paediatricians, psychiatrists, dietitians, schools or other treating professionals.

There are limited circumstances in which information may be disclosed without consent, including where required by law or where necessary in relation to a serious threat to life, health or safety. 

Children and young people

As a child and adolescent psychology practice, we recognise the particular importance of protecting the privacy of children and young people.

How information is shared between a young person, their parent or guardian and their psychologist will depend on factors including the young person's age, developmental capacity, circumstances and applicable professional and legal obligations.

Privacy and confidentiality will be discussed as part of the consent and treatment process.

Accessing or correcting your information

You may request access to personal information that Insight Psychology Newcastle holds about you and may ask us to correct information that you believe is inaccurate, incomplete or out of date.

Requests can be made by contacting the practice. We may need to verify your identity before providing access to personal or health information.

Australian privacy law generally gives individuals the right to request access to health information held about them, subject to applicable exceptions. 

Privacy concerns or complaints
